Key characteristics

In industrial and regulated manufacturing environments, a quality policy commonly:

  • Is authorized and approved by top management
  • States the organization’s commitment to meeting customer, regulatory, and applicable statutory requirements
  • Provides a framework for establishing and reviewing quality objectives
  • Refers to continual improvement of processes, products, and the quality management system
  • Is communicated, understood, and applied within the organization (e.g., training, postings, intranet)
  • Is periodically reviewed and updated to remain appropriate to the organization’s purpose and context

A quality policy is typically maintained as controlled documented information within a QMS, often linked to standards such as ISO 9001, AS9100, or sector-specific requirements.

How it is used operationally

Operationally, the quality policy functions as a high-level reference for:

  • Deriving measurable quality objectives at corporate, site, or departmental levels
  • Aligning manufacturing and quality procedures, work instructions, and MES/QMS configurations
  • Supporting employee training on quality expectations and responsibilities
  • Providing context for internal audits, management reviews, and external audits
  • Explaining the organization’s quality commitments to customers and regulators

What it is not

A quality policy is not:

  • A detailed procedure or work instruction
  • A list of specific inspection criteria or product specifications
  • A marketing slogan or brand statement without operational relevance
  • A one-time document; it should be maintained, communicated, and reviewed

Common confusion

  • Quality policy vs. quality objectives: The quality policy states overall intent and direction. Quality objectives are specific, measurable goals set in alignment with that policy (for example, target defect rates, on-time delivery levels, or audit performance goals).
  • Quality policy vs. quality manual: A quality policy is a concise statement of commitment and direction. A quality manual, where used, describes the structure and key elements of the quality management system.

Relation to ISO 9001 and similar standards

Within ISO 9001 and related standards, the quality policy is a required component of the quality management system. Auditors typically verify that it is defined, appropriate to the organization, communicated, understood by personnel, and used as a basis for setting and reviewing quality objectives.
